Planning Your Perfect Trade show Experience

The Customer:

Since 1982, Data Dimensions has been helping clients better manage business processes and workflows by bridging the gap of automation, technology and physical capabilities. As an innovative leader in the area of information management and business process automation, the company provides a complete range of outsourcing and professional services. Data Dimensions’ integrated solutions and services enable their valued clients to reassign resources and focus on functions which are considered core to their business.

THE EVENT:

Respected experts in the field of workers’ compensation & disability management consider The National Workers’ Compensation and Disabilities Expo to be the “premier event for workers’ compensation and disability management professionals”. The expo has been the biggest industry event of its kind for the last 25 years. As such, it serves as an authoritative source for workers’ comp and disability management professionals to access exceptional educational sessions led by high profile speakers, face-time with top industry vendors, and take advantage of valuable networking opportunities.

As the largest trade show attended annually by the Data Dimensions team, the expo plays a key role in providing inspiration for the company’s yearly theme. The theme for 2019 was: “Intelligent Automation”.

THE CHALLENGE:

Standing out at a trade show of this magnitude requires superb strategic planning, as well as prominent, consistent branding. Data Dimensions sought to maximize the potential of their assigned booth with the goal of winning over new clientele with an unforgettable experience. That’s no small order in a bustling, high-energy expo environment!

Also, Data Dimensions representatives desired to spend as much time as possible directly educating event attendees about their brand, rather than spend the entire event entertaining. After all, the company’s attendance at the expo was a predominantly a move meant to create conversions and promote the brand.

THE SOLUTION:

Our staff worked directly with Data Dimensions’ event planner to plan an engaging and entertaining event activation that would also allow them to focus on conversations with Expo attendees.

VirtualRealityRental.co technicians set up two Room-Scale VR activations with design in mind, choosing a layout that would attract guests by drawing attention to the event space.

Inside those VR areas, Data Dimensions chose to offer three different VR experiences. The first area included the futuristic Beat Saber VR rhythm game and the authentic MLB Home Run Derby VR baseball game. At the other, guests were given the chance to jump behind the wheel of a VR Race Car Simulator

All three virtual reality experiences were available to guests on both days of the event.

VirtualRealityRental.co staff and Data Dimensions staff worked together throughout the expo to ensure that all visitors to the booth were greeted promptly, and that any questions they had about the company were answered quickly & thoroughly.

THE RESULT:

The virtual reality experiences served as conversation starters among attendees. At one point, a semi-pro racecar driver tuned the virtual race car to his personal car’s driving specifications. He then chose to race in VR on a track that he had driven on previously in real life. This comparison drew in curious attendees and created a one-of-a-kind experience for Data Dimensions’ guests. Overall, the virtual reality activations served as a billboard for the brand, positioning Data Dimensions as a company that is both tech-forward and fun.

The partnership between Data Dimensions & VirtualRealityRental.co’s staff yielded an all-inclusive strategy for the resulted in a fun, buzzworthy event. Plus, Data Dimensions staff was able to focus on other important event requirements with peace of mind that the VR area of the booth was in good hands.

Customer Experience:

“The service provided by VirtualRealityRental.co was seamless and allowed us to pour our time and energy into making all of the other aspects of the event a success. The semi-pro race car driver’s demonstration was an unexpected crowd-pleaser that couldn’t have happened without the high-tech VR racing equipment on site.”
